01 — Getting Started

First launch & setup

When you open FincWin for the first time, a 9-step setup wizard walks you through your income, expenses, loans, savings, PIN protection, and storage preference. This takes about 2–3 minutes.

How to complete the setup wizard

Open FincWin in your browser. The welcome screen appears automatically on first visit. Click Get Started →.

Step 1 — Your name & currency. Enter your first name (optional) and select your home currency from the dropdown.

Step 2 — Income sources. Add each monthly income stream (salary, freelance, etc.) with a name and amount. Click + or press Enter for each one.

Step 3 — Monthly expenses. Add your recurring bills (rent, phone, subscriptions). Each gets a name, amount, frequency, due day, week slot, and optional receipt photo.

Step 4 — Loans & debts. Add any outstanding loans with balance, interest rate, and minimum payment. Skip if you have none.
6
Step 5 — Savings goals. Add savings accounts or goals with target amount, current balance, and monthly contribution.

Step 6 — Protect your data. Set a 6-digit PIN and an optional recovery passphrase. You can skip this and enable it later in Settings.

Step 7 — Save your data locally. Choose where your data lives: Local File (default), Google Drive, or Firebase cloud sync. You can change this any time in Settings.

Click Open Dashboard. Your dashboard is ready with this month pre-populated.

Skip the wizard. On the welcome screen, click "Explore with demo data →" to load a rich sample profile instantly and see every feature in action.
02 — Demo Mode

Exploring with demo data

FincWin includes a set of realistic sample profiles you can load at any time to explore every feature without entering your own data.

How to load a demo profile

Open the app. If you haven't set up yet, click "Explore with demo data →" on the welcome screen.

Alternatively, go to Settings → Demo Profiles, select a profile from the dropdown, and click Load Profile.

A yellow banner at the top of the app confirms demo data is active. You can Resume Setup or Start Fresh from this banner.

To clear demo data and start fresh, click Start Fresh in the banner.

04 — Budgeting & Expenses

Bills, budgets & envelopes

The Expenses tab is the heart of FincWin. Expenses are organised into 14 category envelopes and four week slots. Each envelope has a monthly cap (budget), and a colour-coded bar shows how fast you're spending it.

Budget Caps
Set a monthly spending limit per category. The bar turns amber at 75% and red when over.
Recurring Rules
Quarterly and yearly expenses auto-added to qualifying months, managed in the collapsible Recurring Rules panel.
Auto-fill Recurring
One-click button detects bills from previous months and fills them into the current month automatically.
Multi-Currency Items
Log any expense in a foreign currency. FincWin converts it to your home currency automatically.
Receipt Photos
Attach an image receipt to any expense — tap the camera icon on the expense row.
Due Date Calendar
A visual calendar heatmap on the Expenses tab shows which bills fall on which days this month.
Category Tag Filter
Filter the expense list by category using the pill bar above the week slots.
Drag-and-Drop Reorder
Drag expense rows to reorder them within a week. Works with mouse or touch.
How to add an expense

Go to the Expenses tab.

Click the + button inside any week slot (Week 1–4), or press the global Quick Add button (floating button, bottom-right).

Enter the expense name, amount, and optional due day. The category is auto-detected from the name — you can override it.

To make it recurring, select a frequency (Monthly, Weekly, Bi-weekly, Quarterly, or Yearly).

Optionally attach a receipt photo by tapping the camera icon.

Click Save. The item appears in the chosen week and its category envelope updates immediately.
How to mark an expense as paid

Click the checkbox or the expense row's paid toggle. The row dims to show it's settled.

To mark all items in a week at once, click the ✓ All button at the top of the week slot.
💡
Unpaid items show in full colour; paid items are dimmed. The health score improves as you clear bills.
How to set a budget cap for a category

On the Expenses tab, click the Edit All button (pencil icon next to the Budget Envelopes heading).

The Bulk Budget modal opens showing all 14 categories. Enter a cap for each one you want to limit.

Click Save. Envelopes now display a spend bar relative to your cap.
💡
You can also access Bulk Budget via Settings → Budgets → Set Budgets.
How to delete an expense

Click the expense row to open it, then click the Delete (trash) button.

For bulk deletion: click the Select button on the week header to enter multi-select mode. Check items, then click Delete in the bulk action bar.
How to edit an expense amount inline
1
Click directly on the amount number in any expense row. It becomes an editable field.

Type the new amount and press Enter or click away to save.
How to auto-fill recurring bills

Navigate to the current month on the Expenses tab.

Click Auto-fill Recurring (appears when recurring bills from previous months are not yet in the current month).

FincWin adds all bills that appeared in 2+ prior months into the correct week based on their due day.
05 — Revenue & Income

Tracking what comes in

The Revenue tab records all money received in a month. Add as many income sources as you have — salary, freelance, rental income, dividends, and more. A cross-month table shows your income history at a glance.

Income Sources
Add named sources with amounts. Toggle Received once the money arrives.
YTD Income
Running year-to-date total shown in the KPI strip at the top of the Revenue tab.
Cross-Month Tracker
A scrollable table shows income and expenses for the last 12 months (or all time) side by side.
Net Cash Position
Live card showing income minus paid expenses, with expense ratio bar and pending income note.
How to add an income source

Go to the Revenue tab.

Click + Add Income.

Enter a name (e.g. "Salary") and the amount.

Toggle Received once the money has arrived in your account.

Toggle Recurring to auto-populate this source in future months.
💡
Income entries with Recurring on are automatically copied to new months when you navigate forward — no need to re-enter them.
How to edit income inline

Click any amount cell in the income table to edit it in place.

Press Enter or click away to save.
06 — Loans & Debt

Paying down debt

The Loans tab tracks every debt — student loans, car loans, mortgages, credit cards. It calculates your exact payoff date, charts your balance trajectory, and shows the impact of extra payments.

Enter principal, rate, payment, and target date. Built-in amortisation schedule with interest/principal breakdown.
Extra Payment Simulator
Drag the slider to add an extra monthly amount and see months saved and interest avoided — across all loans.
Debt-Free Date
Estimated month all loans reach zero with current payments, shown in the KPI strip.
DTI Indicator
Live Debt-to-Income ratio badge on the Dashboard. Below 36% is healthy; above 43% is a warning.
Avalanche vs Snowball
Switch paydown strategy: Avalanche (highest APR first) or Snowball (smallest balance first).
Debt-Free Celebration
Confetti animation and a badge when a loan reaches $0.
How to add a loan

Go to the Loans tab and click + Add Loan.

Enter: Loan name, current balance, original amount, interest rate (APR %), and minimum monthly payment.

Click Save. The payoff date and trajectory chart update instantly.
How to simulate extra payments

On the Loans tab, find the Extra Payment Simulator slider above the trajectory chart.

Drag the slider to add an extra monthly amount (up to $2,000). The debt-free date and interest savings update in real time.
💡
Even $50/month extra on a typical loan can cut years off your payoff date. Use the simulator to find your sweet spot.
How to use the Paydown Calculator

Scroll to the Paydown Calculator card on the Loans tab.

Select an existing loan from the Select Loan dropdown to pre-fill, or enter Custom values manually.

Enter principal, interest rate, minimum payment, target payoff period, and optional extra monthly amount.

Results show monthly payment, total paid, total interest, savings vs minimum-only, and payoff date. The full amortisation schedule appears below.
How to switch between Avalanche and Snowball strategy
1
On the Loans tab, find the Payoff Strategy toggle at the top.

Click Avalanche to prioritise highest-interest loans first (saves most money).
3
Click Snowball to prioritise smallest-balance loans first (fastest psychological wins).
07 — Savings Goals

Building your future

Track multiple savings accounts and goals — emergency fund, house deposit, holiday, retirement top-up. Each goal shows progress toward its target with a projected completion date and a 12-month growth projection chart.

How to add a savings goal

Go to the Savings / Investment tab and click + Add Goal.

Enter: goal name, target amount, current balance, monthly contribution, and interest rate (optional).

Click Save. A progress bar and projected completion date appear.
💡
Savings contributions are automatically tracked as expenses in the current month under the Savings category when you mark a goal active.
How to log a deposit or withdrawal

Click on a savings goal card to expand it.

Click + Transaction, enter the amount, choose deposit or withdrawal, and add a note.
3
Click Save. The balance and progress bar update instantly.
How to set a debt payoff goal
1
Scroll to the Debt Payoff Goals card on the Savings / Investment tab and click + Add Goal.

Select the loan, set a target payoff date, and save. A goal badge appears directly on the loan card so you can see your on-track status without switching tabs.
08 — Investments

Your portfolio in context

FincWin tracks investments manually — no brokerage connection required. Log stocks, ETFs, bonds, crypto, real estate, and other assets. See your allocation and 12-month growth projection alongside your full financial picture.

How to add an investment account

Go to Savings / Investment and click + Add Account in the Investment Accounts section.

Enter the account name, account type (Stock, ETF/Bond, Crypto, Real Estate, Cash, Other), current value, cost basis, and assumed growth rate.

Click Save. The allocation chart and growth projection update immediately.
09 — Bulk Add & Bank Import

Adding data in bulk

Bulk Add lets you add many expenses, loans, or savings at once. Bank Import reads a CSV file directly from your bank and maps transactions into FincWin.

How to use Bulk Add

Click the Bulk Add button (found on the Expenses tab or via the + menu).

Select the tab: Expenses, Loans, or Savings.
3
Enter each item on its own row — name and amount. Press Enter to add another row quickly.
4
Click Save All to import everything at once.
How to import a bank statement (CSV)
1
Download a statement CSV file from your bank's website.

Click Import CSV on the Expenses tab (or Bank CSV in the mobile More menu).

Click Choose File and select your statement file.

Use the Column Mapper to match your file's columns to Date, Amount, and Name fields.

FincWin detects duplicates and recurring patterns automatically. Review the transactions, assign categories where needed, and click Import Selected.
⚠️
Review before importing. Check the preview list carefully — duplicates are flagged but not automatically excluded.
10 — Bill Calendar

Bills on a calendar

The Calendar tab shows a full monthly grid of bill due dates. Quickly spot when bills cluster, see upcoming deadlines, and identify recurring patterns detected across months.

Monthly Calendar Grid
Each day shows bills due that day. Click a day to see which bills are due.
Upcoming Bills Panel
Chronological list of unpaid bills sorted by due date — your personal bill radar.
Recurring Detected
Items appearing in 2+ months are flagged so you can confirm recurring status.
💡
Bills only appear on the calendar when you set a due day on an expense. Go to Expenses and edit each bill to add a day number (e.g. "15" for the 15th).
11 — Analytics & Reports

Understand your patterns

The Analytics tab shows charts, trends, year-over-year comparisons, month scorecards, smart insights, and the AI Financial Coach — all in one place.

Category Spending Trend
Per-category spend over time. Identify which categories grow month-to-month.
Monthly Net Flow Over Time
Bar chart of net cash (income − expenses) for every month in history.
Year-over-Year Table
Side-by-side comparison of the same months across calendar years.
Budget vs Actual Variance
Budget cap vs actual spend per category — green under, red over — for the last 3 months.
Month Scorecards
Re-open any closed month's scorecard to review how you performed.
Smart Insights
Auto-generated plain-English observations: "You spent 22% more on Food this month."
Tax Summary
Filter expenses marked as tax-deductible and export to CSV for your accountant.
How to export your data

Go to Settings → Cloud & File → Export / Backup.

Click JSON for a full backup of everything, or CSV for a spreadsheet of all expense data.

For tax purposes, click Tax CSV to export only tax-flagged items.
13 — Health Score & Badges

Your financial score

The Financial Health Score (0–100) reflects how well your finances are performing across six dimensions. Earn XP and unlock badges as you hit milestones. Your achievement shelf lives on the Dashboard.

How to earn XP and badges

XP is earned automatically when you take financial actions: marking a bill paid (+5 XP), completing a week (+20 XP), logging income (+15 XP), adding investments (+20 XP), enabling PIN (+100 XP), and more.

Badges unlock when you hit specific milestones — e.g. Debt Slayer (first loan paid off), Goal Crusher (savings goal reached), 3-Month Streak (positive cash flow for 3 months), Vault Keeper (PIN + passphrase enabled).

View your badges in the compact Achievement Shelf on the Dashboard. Earned badges show a rarity ring (green = uncommon, blue = rare, purple = epic, gold = legendary).

14 — AI Finance Coach

Your personal finance advisor

FincWin integrates with Claude (Anthropic) and GPT-4o (OpenAI) so you can ask plain-English questions about your finances. The AI Coach lives in the Analytics tab. You supply your own API key — no data leaves your device through FincWin's servers.

How to set up the AI coach

Go to the Analytics tab and scroll to the AI Financial Coach section.

Click Connect Claude or connect GPT-4o.

Paste your API key. Keys are stored encrypted in your browser's IndexedDB — never in plain localStorage.

Click one of the Quick Analysis mode buttons, or type a free-form question in the text field and click Ask.
💡
The AI coach receives a summary of your financial data as context — your totals, loan balances, and category spend — but never raw transaction names. Your privacy is protected.
15 — Cloud, Drive & File Sync

Your data, everywhere

By default FincWin stores data in your browser. For multi-device access choose from three sync options: a Local Folder (auto-save to disk), Google Drive (OAuth), or Firebase Cloud Sync (encrypted). All three are in Settings → Cloud & File.

How to link a local folder (Chrome / Edge)

Go to Settings → Cloud & File → Local Folder and click Choose folder.

Pick a folder (e.g. Documents). FincWin will auto-save fincwin-data.json there on every change.

On another browser or device, link the same folder and FincWin will load from that file.
💡
Other browsers (Safari, Firefox) without the File System Access API will prompt a manual download on demand instead of auto-saving.
How to connect Google Drive sync
1
Go to Settings → Cloud & File → Google Drive and click Connect.
2
Sign in to your Google account and grant permission. FincWin stores data in your Drive's app-private folder (not visible in your main Drive).
3
On a second device, connect the same Google account. Your data syncs automatically on each save.
How to enable Firebase cloud sync
1
Go to Settings → Cloud & File → Cloud Sync and click Set up.
2
Enter a passphrase. All data is encrypted with this passphrase before leaving your device. You must remember this — it cannot be recovered.

On a second device, open FincWin → Settings → Cloud & File, enable cloud sync, and enter the same passphrase. Your data will sync automatically.
⚠️
Remember your passphrase. If you forget it, your cloud data cannot be decrypted by anyone — including us. Store it safely.
16 — Archive & Months

Managing your history

FincWin automatically archives months older than your chosen threshold (default 6 months). Archived months are read-only but still included in Analytics charts and the Revenue cross-month table.

How to change the auto-archive threshold

Go to the Archive tab.

Use the Threshold dropdown (top-right) to choose 3, 6, 9, 12 months, or Never auto-archive.
How to clone a month
1
On the Expenses tab, click Clone Month.

Choose the target month and decide whether to reset paid status on cloned expenses.
How to restore an archived month
1
Go to the Archive tab.
2
Find the month in the list and click Restore. It returns to your active months and becomes editable again.
17 — PIN & Encryption

Protecting your data

FincWin uses a 6-digit PIN lock and AES-GCM encryption. Your PIN is the key — enable it in Settings or via the lock icon in the top bar. A session token means you won't be re-asked on every page refresh within the same tab session.

How to set a PIN

Click the lock icon in the top bar, or go to Settings → Security → Set / Change PIN.

Enter a 6-digit PIN twice to confirm.

Optionally add a recovery passphrase (min. 8 characters). Write it down — it's the only way back in if you forget the PIN.

Click Save PIN. The app will require this PIN on each new browser session. Within the same session, the PIN is remembered until the auto-lock timeout expires.
How to configure auto-lock timeout
1
Go to Settings → Security → Auto-lock after.
2
Choose a timeout: 30 min, 1 hr, 4 hrs (default), 8 hrs, 1 day, or Never (tab close only).

After this period of inactivity the app locks and asks for your PIN again. Closing the browser tab always locks regardless of timeout.
18 — Backup & Export

Never lose your data

Download a full JSON backup of all your data at any time. Import it back on any device to restore everything exactly. CSV and Tax CSV exports are also available.

How to download a backup

Go to Settings → Cloud & File → Export / Backup.

Click JSON. A file named fincwin-YYYY-MM-DD.json saves to your downloads.
💡
Downloading a backup unlocks the Backup Hero badge (+125 XP). Do it regularly.
How to restore from a backup
1
Go to Settings → Cloud & File → Import.
2
Click Choose File and select your .json backup file.
3
Confirm the import. All data is replaced with the backup. This cannot be undone.
⚠️
This replaces all current data. Download a fresh backup of your current state first if you want a safety copy before restoring.

Make it yours

FincWin is highly customisable — 7 design styles, each with light & dark modes, plus 7 accent colour swatches. Everything is in the Settings tab.

Light & Dark Mode
Each design has a light and dark variant. Pick independently per design.
Accent Colours
Override the design accent with: Default, Forest, Burgundy, Teal, Rose, Coral, or Amber.
Profile & Name
Set your name — used in the dashboard greeting and AI Coach prompts.
Setup Wizard Re-run
Re-run the initial setup any time to update your income, loans, or savings.
Onboarding Tour Replay
Replay the guided walkthrough of key features.
Bill Reminders
Enable browser notifications for upcoming due dates (bell icon in top bar).
Currency
Full global currency list. Change your home currency and live exchange rates any time.
How to change the design style

Go to Settings → Design Style.

Click the Light or Dark button on any design card. The app switches instantly.

Optionally pick an Accent Colour from the swatch row below the gallery.
20 — Category Manager

Custom categories

FincWin's 14 default categories cover most people. The category manager lets you rename them or add your own. Access it from the Analytics tab header or the Settings page.

How to add a custom category

Click Manage Categories on the Analytics tab, or go to Settings → Categories.

Click + Add Category. Enter a name and choose an icon.

Click Save. The new category appears as an envelope on the Expenses tab.
21 — Currency & Locale

Any currency, anywhere

Set your home currency in Settings. Individual expenses can be logged in a different currency — FincWin converts them automatically using cached live exchange rates.

How to log a foreign-currency expense

Add an expense normally. In the amount field, click the currency flag/code next to the amount.

Select the foreign currency from the list and enter the amount in that currency.

FincWin converts it to your home currency using the latest cached rate. The converted amount appears in parentheses.

Common questions

Is my data safe? Does FincWin send it anywhere?

By default, all data lives entirely in your browser's local storage and IndexedDB. Nothing is sent to any server. Cloud Sync (Firebase) and Google Drive sync are opt-in and encrypt all data before it ever leaves your device. AI Coach calls send only a financial summary — never raw transaction names.

I forgot my PIN — how do I get back in?

If you set a recovery passphrase when creating the PIN, use the Forgot PIN? Use recovery passphrase option on the lock screen (appears after 10 failed attempts). If not, you'll need to clear app data from your browser settings (this erases all FincWin data). This is why regular JSON backups are important.

Can I use FincWin offline?

Yes. FincWin is a Progressive Web App (PWA) with a service worker that caches all assets. After your first visit, it works fully offline. Install it to your home screen for the best experience.

How do I install FincWin to my phone?

Will my data transfer if I clear my browser?

Clearing browser storage will erase local FincWin data. Always download a JSON backup before clearing. If you use Google Drive or Firebase Cloud Sync, your data is safe in the cloud and will re-sync on next open.

Why does my PIN get asked every time I refresh?

FincWin uses a session token in sessionStorage so the PIN is only required once per tab session. If you're still prompted on every refresh, go to Settings → Security → Skip PIN on page refresh and toggle it on. When that setting is off, the encrypted DEK is not persisted between loads, providing higher security at the cost of convenience.
